Telegram quick reply practice: use EYY to build an efficient reply template library

A common problem with Telegram customer service is not that they won’t reply, but that they keep typing repeatedly when switching between channels, groups, and private chats. Organizing high-frequency questions into searchable and checkable quick responses can significantly reduce mechanical operations while retaining human judgment.

1. First, count the truly repeated questions in Telegram

Don’t create hundreds of phrases based on impressions. First record the consultation for 2 to 3 days and classify the problems into three levels:

  • High frequency base layer:Welcome message, working hours, product entrance, payment method.
  • Process description layer:Things like ordering, shipping, inquiries, refunds, etc. need step-by-step instructions.
  • Risk treatment layer:Scenarios such as account anomalies, complaints, amount disputes, etc. that must be manually confirmed.

The first two layers are suitable for establishing quick responses. The risk processing layer only provides information collection templates and should not automatically promise results.

2. Use “scene + intention” to name words

Telegram conversations are fast-paced, and customer service often only remembers what the customer wants to do. It is recommended to use "scenario + intention" naming, such as "Order | Query progress", "After-sales | Apply for refund", "Account | Unable to log in". After unified naming, newcomers do not need to know where the words are stored and can find them through keywords.

Don't name it like this

Commonly used 01, Commonly used 02, Reply to new version. They fail to describe the conditions under which they apply, and are difficult to troubleshoot after the rules are updated.

3. A complex reply is divided into three stages.

Long paragraphs are easy for customers to miss and are not conducive to customer service adjustments based on the conversation. Complex problems can be broken down into:

  1. Respond first:Confirm that you understand the customer's problem.
  2. Collect again:Request only the information necessary to complete your inquiry.
  3. Post-processing:Describe next steps and expected feedback nodes.

For example, when a customer inquires about logistics, it is not necessary to send the complete logistics policy first. Confirm the order number first, and then call the corresponding instructions based on the query results. The reply will be shorter and more accurate.

4. Complete the settings and testing in EYY

  1. Create a dedicated Telegram group or add a Telegram tag to a common conversation.
  2. Enter 10 to 20 of the most frequent pieces of content and set clear search terms.
  3. Open the Telegram desktop and use the internal account to test calling and sending.
  4. Check whether the link preview, line breaks, emoticons, and mixed Chinese and English are as expected.
  5. Arrange for two customer service staff to try it out for a day and record the phrases that are “unsearchable” and “easy to be mistakenly sent”.

5. Add pre-send checks to variables and promises

Customer name, order number, amount, time, and link are all error-prone variables. You can use eye-catching marks in the words, such as "[Fill in the order number]", and ask to delete the reminder before sending. Commitments involving refund timeliness, delivery time, etc. should be confirmed by customer service in accordance with current rules before sending.

Quick reply does not mean automatic judgment

EYY helps reduce repeated input, but customer identity, order status and abnormal reasons still need to be judged by customer service. The prerequisite for improving efficiency is accurate responses.

6. Optimize with three indicators every week

  • Hit rate:Whether high-frequency questions can be found in the first few search results.
  • Modification rate:Does it often need to be significantly rewritten after being called? If so, it means that the words are too long or the scope of application is unclear.
  • Misuse rate:Whether there is a response that does not fit the order status or customer context.

By deleting duplicate content and adding missing keywords every week, the Telegram reply template library will become smoother as you use it, instead of accumulating and becoming cluttered.
