EYY Multi-platform customer service workflow: How to unified manage WhatsApp, Telegram and LINE

Establish multi-platform customer service workflows using main phrases, platform variants and compatibility tests to unify the service caliber of WhatsApp, Telegram and LINE.

When hosting WhatsApp, Telegram, LINE or other channels at the same time, the biggest cost is often not opening multiple windows, but multiple versions of the same rule appearing in different places. The core of multi-platform efficiency is to unify content sources, preserve channel differences, and establish clear update responsibilities.

1. First separate “platform” and “business rules”

Price, inventory, refund conditions and processing time limit are business rules and should have only one main version; tone, length, link format and sending rhythm are platform expressions and can be adjusted according to channels. 2. Establish a set of main words and platform variations

4. Design a cross-platform reception process

  1. Identify the customer's platform and current session type.
  2. Determine whether the problem belongs to pre-sales, ordering, logistics or after-sales.
  3. Search for the main keyword and select the corresponding platform variant.
  4. Complete the customer and order variables and check for commitment information.
  5. After sending, record matters that require handover or follow-up.

If the team needs to direct a customer from one platform to another, explain why and next steps, don’t just send a new contact details and ask the customer to re-describe the issue.

5. Conduct platform compatibility testing before going online

  • Whether the input box can correctly receive the called words.
  • Are line breaks and paragraph breaks in long text normal?

6. Use version numbers to manage important calibers

Document the person responsible and the date of the most recent review in terms of pricing, promotions, refunds, and privacy. When the rules are updated, change the main words first, and then review the platform variations according to the list. Don’t just rename the old version to “obsolete”. It should be removed from the search results to avoid customer service errors.

7. Team management depends on accuracy, not just speed.

Multi-platform tools can reduce duplication of operations, but true service quality also depends on whether the first reply is correct, whether the necessary information is collected in one go, and whether follow-up processing is completed as promised. It is recommended to review the "number of errors" and "number of repeated inquiries" together with the response time.
