How to Choose the Right Customer Service Tool

Evaluate response workflow, reply template maintenance, platform support, team collaboration, and a short pilot before choosing a customer service tool.

"Customer service software, customer service tools, customer service assistants" have many names, but you don't have to worry about the nouns when choosing one. What really needs to be answered is: can it reduce duplication of work, allow teams to maintain unified content, and can it adapt to existing hospitality platforms.

Dimension 1: Is it really shortening the path of a reply?

Don’t just look at the “efficiency improvement” in the promotion, but observe the steps required for customer service to complete a high-frequency reply: find the content, copy or call, complete variables, check and send. During the trial, select 20 real problems and record the average time taken and the number of errors for easy comparison.

  • Whether the search results can quickly hit the correct words.
  • Do you need to copy and paste repeatedly in multiple windows?
  • Long text, links and line breaks remain correct.
  • Is it convenient to modify after calling instead of just sending it as is?

Criterion 2: Is the reply template library easy to maintain?

Customer service tools do not end after installation. Prices, events, logistics, and after-sales rules will all change, so focus on assessing whether sorting, searching, modifying, and cleaning are smooth. The larger the team, the more important maintenance costs become.

Trial questions

After creating 30 new conversations, update the price rules for 5 of them and let another customer service search. If it is difficult to tell which version is the latest, it means the maintenance mechanism is still unclear.

Dimension 3: Whether it is suitable for the current platform and working methods

List the systems, chat platforms, and shifts your team actually uses, and don’t sacrifice the current experience for “might use later” features. Windows and macOS, desktop and mobile, personal use and team collaboration, all have different concerns.

  • Whether there is a version available for the current computer system.
  • Is typing and sending stable in major chat platforms.
  • When multiple people work in shifts, are the communication skills and update responsibilities clear?
  • When encountering exceptions, are there tutorials, version records, and support portals?

Let’s look at four costs that are easily overlooked

  1. Learning cost:How long does it take for a newbie to find the correct reply independently.
  2. Migration costs:Does the existing dialogue need extensive reworking?
  3. Error cost:What impact can old prices or wrong after-sales promises have?
  4. Maintenance cost:Who updates, how often to review, and how to notify the team.

Use a small-scale pilot to complete the selection

Choose 2 customer service agents with different experiences, introduce 30 to 50 high-frequency chat techniques, and try it for 3 consecutive days. Record the search success rate, average response time, post-call modification rate and number of incorrect calibers. Experienced agents can judge flexibility, and newcomers can test whether the tool is easy to learn.

Don’t just compare feature count

More functions does not mean suitable. Whether high-frequency functions are stable, whether the language is easy to maintain, and whether the team is willing to continue using it are usually more important than the length of the feature list.

When is the right time to consider EYY?

If the team's main problems are repetitive typing, scattered reply templates, and difficulty in cross-platform search, and hope to improve the daily response process in a lighter way, you can start the trial from the corresponding system version of EYY.
