Improve Customer Service Response Time with Quick Replies

Reduce repetitive typing and decisions with organized quick replies, so support agents can respond faster and focus on customer problems that need judgment.

The common reason for slow customer service responses is not "not proficient enough" but the same answer being reorganized and re-entered every day. Turning repetitive work into reusable content is often more effective than simply requiring increased responsiveness.

1. First determine where customer service is slow.

First observe a complete conversation: is time spent looking for orders, understanding questions, confirming rules, or typing the same content repeatedly? Different reasons require different solutions. Quick replies are most suitable for content with stable information, high frequency of occurrence, and fixed expression structure.

  • Suitable for standardization:Delivery time, return and exchange process, activity rules, product parameters, and after-sales material list.
  • Manual judgment is required:Complex complaints, special compensation, intense customer emotions, and conflicting information.

2. Start with the high-frequency questions of the past week

Don’t start by creating hundreds of quotes. First collect the 20 most common questions in the past week, sort them by the number of occurrences, and prioritize the most repetitive ones.

After high-frequency issues are standardized, the team will immediately feel the changes, and it will be easier to find the next batch of content worth organizing.

3. Split a reply into three parts

A natural and complete customer service reply usually includes: understanding the customer, giving information, and explaining the next step. Writing these three parts clearly can reduce the mechanical feeling and avoid just answering the rules without telling the customer what to do.

  1. Response:Confirm that you understand the problem the customer is experiencing.
  2. Answer:Explain the rule or current status in as short a sentence as possible.
  3. Action:Tell the customer what needs to be provided next or what customer service will continue to do.
Don’t cram everything into one super long paragraph

A long reply can be split into two or three short messages, which is easier for customers to read and easier for customer service to delete and modify according to the actual situation.

4. Create searchable words in EYY

Establish categories according to customer problems, such as "Logistics Inquiry", "Address Modification", "Returns and Exchanges", and "Invoices", which are easier to search than using "Pre-sales Group" and "After-sales Group". The title should contain keywords that customer service will think of, and the content should remain sendable.

Build the smallest usable structure first

  • There should not be too many first-level categories, and they should be able to be browsed quickly within one screen.
  • Put high-frequency short sentences into shortcut tags, such as "Hello", "Please wait" and "I will verify it for you right away".
  • Long processes are divided into sections using bookmarks, and file-type materials are put into local file categories.
  • Use the search bar to locate words directly through keywords.

5. Do a light review once a week

The reply template library is not finished once it is completed. Spend 15 minutes every week checking the content that is “not found, no one is using it, and is often modified”: If it cannot be found, it means that the title or category needs to be adjusted; if no one is using it, it means the content may be duplicated; if it is frequently modified, it means it should be split into fixed parts and variable parts.
